Privacy Policy

Last updated: June 14, 2026

At Northbound Software Studio, we keep things straightforward — in our work and in how we handle your data. This Privacy Policy explains what information we collect when you visit our website or reach out to work with us, how we use it, and what choices you have.

By using our website at northboundsoftwarestudio.com, you agree to the practices described here and to our Terms and Conditions of Use.

1. Who We Are

Northbound Software Studio ("Northbound," "we," "us," or "our") is a woman-owned, AI-native software studio based in Toronto, Ontario, Canada. We build web, mobile, and AI-enabled products for clients worldwide.

If you have any questions about this policy or how we handle your data, you can reach us at: hello@northboundsoftwarestudio.com

2. Information We Collect

Information you give us directly

When you fill out our contact form, book a scope call, or email us, you may share:

We only collect what you provide. We do not require you to create an account to browse our site.

Information collected automatically

Like most websites, we collect basic technical data when you visit:

This data helps us understand how people find and use our site so we can improve it.

Cookies and similar technologies

We use a minimal set of cookies:

You can disable cookies in your browser settings at any time. Disabling analytics cookies will not affect your ability to use the site.

3. How We Use Your Information

We use the information we collect to:

We do not sell your information. We do not use it to build advertising profiles. We do not send unsolicited marketing emails — if you reach out, we reply; we do not add you to a newsletter without your explicit opt-in.

4. How We Share Your Information

We share your information only in these limited circumstances:

Service providers

We use a small number of trusted third-party tools to operate our business — for example, our scheduling tool (Cal.com) for booking scope calls, and our email provider. These providers access only what they need to perform their specific service and are not permitted to use your data for their own purposes.

Legal requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, safety, or property of Northbound, our clients, or the public.

Business transfers

If Northbound is ever acquired, merged, or its assets transferred to another entity, your information may be part of that transfer. We will notify affected users before any transfer and before their data becomes subject to a materially different privacy policy.

We do not share your information with advertisers, data brokers, or unrelated third parties.

5. Data Retention

We keep your contact information for as long as it is relevant to our working relationship or potential engagement with you. If you reach out and we never work together, we delete inquiry records after 12 months. If we work together as a client, we retain project-related communications for up to 3 years for record-keeping purposes.

Automatically collected usage data is retained in aggregated, anonymized form and does not include personally identifying details after 90 days.

You can request deletion of your personal data at any time — see Section 8 below.

6. Data Security

We take reasonable technical and organizational measures to protect your information: encrypted connections (HTTPS), access controls, and limiting who internally can access contact data. That said, no method of transmitting or storing data over the internet is completely secure. We cannot guarantee absolute security, and we encourage you not to share sensitive information (passwords, financial details) through general contact forms.

If we become aware of a breach affecting your personal data, we will notify you as required by applicable law.

7. International Visitors

Northbound is based in Toronto, Canada, and our website serves clients worldwide. If you are visiting from outside Canada, your data may be transferred to and processed in Canada or in the countries where our service providers operate. Canada's federal privacy law (PIPEDA) and Ontario's applicable regulations govern how we handle personal data. We apply the same protections regardless of where you are located.

8. Your Rights and Choices

You have the right to:

To exercise any of these rights, email us at hello@northboundsoftwarestudio.com with the subject line "Privacy Request." We will respond within 30 days.

If you are an EEA or UK resident, you also have the right to lodge a complaint with your local data protection authority.

9. Children's Privacy

Our website and services are intended for businesses and adult individuals. We do not knowingly collect personal information from anyone under the age of 16. If you believe a minor has submitted information through our site, please contact us and we will promptly delete it.

10. Third-Party Links

Our website may link to third-party sites — tools we recommend, client work we've shipped, or resources we reference in blog posts. We are not responsible for the privacy practices of those sites and encourage you to review their policies before providing any personal information.

11. Changes to This Policy

We may update this Privacy Policy as our practices evolve or as laws change. When we do, we will update the "Last updated" date at the top of this page. If any changes are material, we will provide a more prominent notice. Continued use of our site after changes are posted constitutes acceptance of the updated policy.
